AGM 2019 – Antenna – Doors 7.30pm Tuesday 3rd December

All members will have had an email about our upcoming Annual General Meeting (if you have not had an email, please check your SPAM or check on the Hackspace Membership System HMS that you have your current email listed for contact purposes).

What is the Annual General Meeting?
I hope that the Annual General Meeting doesn’t sound like something a bit boring that you don’t want to go to where at best there will be some uncomfortable politicking and at worst some fool droning on about something you couldn’t care less about. This year is our 8th AGM (in our 9th year in existence as a community). The purpose of the AGM is to review the year and agree the accounts of the year for submission to HMRC. Also changes to our constitution can be suggested and voted on (with some chaired discussion). These need to be raised a few weeks before the AGM to be on the agenda, the sooner the better. We’ve already had a minor alternative/clarification of wording around trustee term lengths, an issue that was voted in last AGM. That stuff can be pretty dry we know…

VOTE NOW!

This email has gone to all Hackspace Members

The voting period for the vacant Nottingham Hackspace Trustee positions is about to open, allowing you to cast your ballot for the candidates of your choice.

The voting period will start on Saturday, 25th May, at 00:01 and go on until Friday, 31st May, at 23:59.

There are four positions vacant this year, with five potential candidates. The candidates are:

  • Mark Thompson
  • Eddie Podgorski
  • Samathy Barratt
  • Dan Spencer
  • Dom Marshall

You can see each candidate on our election page: https://wiki.nottinghack.org.uk/wiki/2019-05-25_Election

For the election, we use Single Transferable Vote. For a guide on how Single Transferable Vote works, we recommend reading about Dennis the Election Koala: http://www.chickennation.com/2013/08/18/you-cant-waste-your-vote/

Along with the five nominees, we will also have “Re-Open Nominations” (RON) on the ballot as a sixth nominee. If RON is elected, a new election will be run for the remaining positions. Any candidate that beats RON will become a trustee, while any candidate that is beaten by RON may re-nominate themselves for the next election.

You can read more about how the election process works in Section 5 of the Hackspace Constitution: https://wiki.nottinghack.org.uk/wiki/Constitution

We will be running the election on Opavote, an independent website. You can find out more about Opavote here: https://www.opavote.com/

If you have any questions about the election, please contact the Trustees at trustees@nottinghack.org.uk.

This year, the returning officer is James Fowkes. We’d like to thank him for volunteering his time for this essential role.

Regards,

Ali, Andrew, Ian, James A, James T, Matt, and Russell

Be a Trustee!

‘Trustee’ may sound like an intimidating title, but it’s a job many of us have done in our spare time since Nottingham Hackspace began. You’ll be part of a group deeply involved in decision making and setting strategy for the space. From making sure the space is comfortable for everyone to keeping tabs on the rent bill, the trustees’ help make the space what it is.

If you are interested in standing, send your nomination to trustees@nottinghack.org.uk between 00:01 on Friday, 26 April, and 23:59 on Thursday, 16 May 2019, including your full name, a photo of yourself and a paragraph on why you would like to be a trustee.

The Nottingham Hackspace AGM will be held on Thursday 24 January (TODAY!), starting at 7:30 pm. It will be in the Hackspace Classroom (down in 2.5).

It is extremely important that we reach quorate for this meeting.

Quorate is 130 members.  If you cannot attend, please choose a proxy voter from this pagehttps://wiki.nottinghack.org.uk/wiki/2019-01-24_AGM_Proxy_Votes

It is absolutely vital for the survival of the space that members attend.

Thank you and we look forward to seeing you or your proxy at the meeting.

Kind regards,

AGM re-run: Thursday 24th January 2019 @ The Hackspace

Email to all Members from the Trustees

As you may be aware, we were unable to conduct the AGM in November as planned as unfortunately we had insufficient members represented either in person or by proxy to be quorate. Our constitution requires 20% of the membership to be represented at the AGM. As a result of this we need to re-run the meeting.

The date for the Nottingham Hackspace Annual General Meeting (AGM) re-run is Thursday, 24 January 2019. It will be held in the Hackspace Classroom (downstairs). Doors will open at 7.30pm and the meeting will begin promptly at 8:00pm.

If you’re a member of Nottingham Hackspace, you need to attend in person or allocate a proxy to represent you at the meeting. We have a number of special resolutions we need you to vote on.

Proxy Voting

If you can’t make the AGM in person, you can make a proxy vote, whereby another member will attend and submit vote(s) on your behalf. If you’d like to register as a proxy voter, or alternatively if you are able to attend and would like to volunteer as a proxy, please add your name to the wiki list at: https://wiki.nottinghack.org.uk/wiki/2019-01-24_AGM_Proxy_Votes

Quorum

For the AGM to happen we need 130 members represented. This is the required quorum as per our constitution. As per section 1.129 of our Articles of Association, if we do not have a total of 130 members (present and proxy voters) then we will not be able to conduct any business and will have to rearrange the AGM for another time.

Agenda

The agenda for the AGM will be as per the 23 November meeting and is available here: https://wiki.nottinghack.org.uk/wiki/2019-01-24_AGM_Agenda

Thank you for being a Hackspace member this past year, and we look forward to seeing you or your proxy at the meeting.

Kind regards,
Nottingham Hackspace Trustees
